RealTime Networking LLC ("RTN," "RTN Smart," "we," "us," or "our") operates the RTN Smart Loyalty platform, the RTN Smart and RTN Rewards mobile applications, the merchant dashboard at app.rtnsmart.com, and the websites located at rtnsmart.com, rtnrewards.com, rtnhub.com, and related subdomains (collectively, the "Platform" or "Services").
This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. By using the Services, you agree to the practices described here. If you do not agree, please do not use the Services.

Who This Policy Applies To
The Platform serves several different types of users, and the information we handle depends on how you interact with us:
Independent convenience store owners, multi-store operators, and their authorized employees who subscribe to and operate the Platform.
Shoppers who download the RTN Rewards app, enroll in loyalty, earn or redeem points, or pay at participating stores.
Associations, distributors, manufacturers, petroleum jobbers, advertisers, vendors, and investors who use our partner portals.
Anyone who browses our public websites.
Where a section applies only to a specific group, we say so.
Information We Collect
2.1 Information You Provide Directly
From Merchants:
- Business and store details (legal name, store name, address, store ID, POS type, tax identifiers).
- Account and contact information for owners and authorized employees (name, email, phone, role).
- Billing and subscription information (plan, billing contact, payment method on file).
- Operational data you enter into the back office (inventory, pricebook, vendor records, employee records, profit-and-loss inputs).
From Consumers:
- Registration details (name, email address, mobile phone number, password).
- Loyalty profile data (points balance, enrolled stores, preferences, opt-in selections).
- Age-verification information where required for age-restricted products (e.g., date of birth or a yes/no age attestation).
From Partners:
- Organization details, contact information, and any data submitted through the relevant partner portal.
2.2 Transaction and Scan Data
When a transaction occurs at a participating store, we process data necessary to deliver loyalty, compliance, payments, and reporting features. This may include item-level purchase data ("scan data"), basket totals, store and register identifiers, timestamps, loyalty identifiers, and discount or rebate details. For age-restricted categories such as tobacco and alcohol, this may include manufacturer-required product codes and promotion fields.
2.3 Payment Information
Card payments are processed by our third-party payment processor (ProPay/Clearent and other gateways). RTN does not store full payment card numbers. We retain only limited, non-sensitive details such as the last four digits, card brand, authorization code, and transaction identifier. RTN Cash points are stored as loyalty point balances and are not stored value, a wallet, or a prepaid product (see our Terms of Service).
2.4 Information Collected Automatically
When you use the Services, we and our service providers may automatically collect:
- Device and technical data (device type, operating system, app version, browser, IP address).
- Usage data (features used, pages viewed, actions taken, timestamps, diagnostic and error logs).
- Approximate or precise location, where you enable it, to power features such as nearby-store discovery and order-ahead.
- Cookies, SDKs, and similar technologies (see Section 8).
2.5 Information From Other Sources
We may receive information from POS systems and middleware (Gilbarco, Verifone, Wayne, NCR via RTN Bridge), tobacco manufacturer programs (AGDC/Altria, RJR/Reynolds, ITG/Imperial), distributors, associations, payment processors, and public or licensing records used to enrich store and product data.
How We Use Information
We use information to:
- Provide, operate, maintain, and improve the Services.
- Create and manage merchant and consumer accounts.
- Process transactions, loyalty points, deals, rebates, and digital coupons.
- Prepare and submit manufacturer scan data and compliance reporting on a merchant's behalf.
- Process payments through our payment processor and prevent fraud.
- Provide back-office reporting, analytics, and performance insights to merchants.
- Operate AI features such as self-healing diagnostics, the AI combo and margin optimizer, and the AURA assistant (see Section 5).
- Verify age and eligibility for age-restricted products and features.
- Communicate with you about your account, transactions, service updates, and support.
- Send marketing and promotional messages where permitted (see Section 9).
- Detect, prevent, and respond to security incidents, fraud, and abuse.
- Comply with legal obligations and enforce our agreements.
We rely on the following bases, as applicable: performing our contract with you, our legitimate business interests, your consent, and compliance with legal obligations.
How We Share Information
We do not sell your personal information, and we do not resell a merchant's transaction data to third parties. No-data-resale is a founding principle of RealTime Networking LLC.
We share information only as described below:
- Service Providers. Vendors who perform services for us (hosting, payment processing, analytics, communications, customer support) under contractual confidentiality and data-protection obligations.
- Tobacco Manufacturers. When a merchant enrolls in manufacturer scan data and rebate programs, we submit required transaction and compliance data to AGDC/Altria, RJR/Reynolds, and ITG/Imperial as directed by the merchant and required by those programs.
- Payment Processors. Card data is handled by PCI-compliant third-party processors to complete transactions.
- Between Merchants and Consumers. Limited data is shared to operate loyalty (e.g., a consumer's loyalty identifier and points activity at the stores where they transact).
- Partners. Where you use a partner portal or are enrolled through a partner (such as an association), we may share relevant data with that partner.
- Legal and Safety. When required by law, subpoena, or legal process, or to protect the rights, safety, and property of RTN, our users, or the public.
- Business Transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
- With Your Direction or Consent. When you ask us to share information or otherwise consent.
We may also share aggregated or de-identified information that cannot reasonably be used to identify you.
Artificial Intelligence and Automated Processing
The Platform uses AI and automated systems, including self-healing diagnostics (T0–T4 tiers), an AI combo and margin optimizer, and the AURA voice assistant. These systems analyze operational, transaction, and diagnostic data to detect and resolve issues, generate recommendations, and improve store performance. Automated recommendations are advisory; merchants remain responsible for their own business and compliance decisions. We do not use automated processing to make decisions that produce legal or similarly significant effects about consumers without appropriate safeguards or human review where required by law.
Data Retention
We retain personal information for as long as needed to provide the Services, maintain your account, comply with legal, tax, accounting, and manufacturer-program obligations, resolve disputes, and enforce our agreements. Transaction and scan data may be retained as required by manufacturer programs and applicable law. When information is no longer needed, we delete or de-identify it.
Data Security
We use administrative, technical, and physical safeguards designed to protect information, including encryption in transit, access controls, and PCI-DSS-aligned handling of payment data. RTN does not store full card numbers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
Cookies and Tracking Technologies
We and our service providers use cookies, SDKs, pixels, and similar technologies to operate the Services, remember preferences, measure performance, and understand usage. You can control cookies through your browser settings, and you can control mobile identifiers and location through your device settings. Some features may not function properly if you disable certain technologies.
Marketing and Communications
We may send you service-related messages (which you cannot opt out of while you have an account) and, with appropriate consent where required, marketing messages by email, SMS, or push notification.
By providing your mobile number, you consent to receive transactional and, where you opt in, promotional messages. Message and data rates may apply. You can opt out at any time — for example, by replying STOP to texts or using the unsubscribe link in emails.
Our SMS and messaging practices follow applicable laws including the TCPA and CAN-SPAM.
Your Privacy Rights and Choices
Depending on where you live, you may have rights to:
- Access the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your information.
- Opt out of the sale or sharing of personal information or targeted advertising (note: we do not sell personal information).
- Limit the use of sensitive personal information.
- Receive a portable copy of certain information.
- Withdraw consent where processing is based on consent.
To exercise these rights, contact admin@rtnsmart.com. We will verify your request and respond within the time required by applicable law. You may designate an authorized agent to act on your behalf. We will not discriminate against you for exercising your rights.
- Consumers: you can also manage many choices directly in the RTN Rewards app (notifications, location, account deletion).
- Merchants: account and employee data can be managed in your RTN Hub dashboard.
State-Specific Privacy Disclosures (United States)
If you are a resident of California, Virginia, Colorado, Connecticut, Utah, or another state with a comprehensive privacy law, you have the rights described in Section 10 as provided by your state's law.
California (CCPA/CPRA)
We do not sell or "share" (for cross-context behavioral advertising) personal information as those terms are defined under California law. California residents may request access, deletion, correction, and details about the categories of personal information we collect, use, and disclose, and may exercise these rights twice in a 12-month period free of charge.
The categories of personal information we collect are described in Section 2, used for the purposes in Section 3, and disclosed to the recipients in Section 4.
Children's and Age-Restricted Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it. Because the Platform supports age-restricted products such as tobacco and alcohol, certain features require age verification and are restricted to users who meet the minimum legal age (21+ for tobacco and, depending on jurisdiction, for alcohol). International Users
RTN is based in the United States, and the Services are intended for use in the United States. If you access the Services from outside the U.S., you understand that your information will be processed in the United States, where data-protection laws may differ from those in your location.
Third-Party Services
The Services integrate with and link to third parties (POS systems, payment processors, manufacturers, app stores, and others). This Policy does not cover the privacy practices of those third parties, and we encourage you to review their policies.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date and, where appropriate, provide additional notice. Your continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
